About Waterline
What is Waterline?
The CRM for pool builders, remodelers, service companies and spa dealers: leads, estimates with a price check, scheduling, purchasing, invoices and payments, from the first call to the final payment.
What is Marco?
Our free app for pool owners. It reads their water tests and tells them what to add, answers questions about their pool, sends projects to a Waterline company near them, and lets them follow the jobs a pool company shares.
Who makes them?
TriLumen Systems, an independent software company in northeastern Pennsylvania. We also make PermitLogic, the CRM for contractors, on the same engine.

Pricing
How much does it cost?
Professional is $100 a month or $1,000 a year for one user. Enterprise is $399 a month or $3,990 a year with 5 users. Enterprise Plus is $799 a month or $7,990 a year with 10 users. Marco is free for pool owners.
Is there a fee on online payments?
Professional and Enterprise pay a 1% Waterline fee on online invoice payments, on top of Stripe's standard rate. Enterprise Plus pays no Waterline fee.
Can I cancel?
Professional can cancel any time. Enterprise and Enterprise Plus are a 1-year term, paid monthly or yearly. You can add users any time.
Are Marco leads extra?
No. Leads from Marco and offers to pool owners near you come with every plan.
Pricing your work
Does the AI set my prices?
No. The price check suggests a price from your own estimates, job costs and crew hours. Waterline AI, the assistant on every plan, explains it. You decide the price, every time.
What if I don't have past jobs in it yet?
You start with a price book for your kind of pool company at typical U.S. prices. The price check gets sharper as you send estimates, mark them won or lost, and log job costs.
Who can see my overhead and profit?
Only owners and admins. Anyone who writes estimates sees the price check on their own estimates.
Marco and new customers
How do leads from Marco work?
Set the zip codes you serve and the work you take: new pools, remodels, weekly service, repairs or spas. When an owner near you describes a project to Marco and sends it, it goes to one Waterline company that serves their zip code and does that work. It lands in your leads with their details and their OK to call.
What if I can't take a lead?
Pass on it, and Marco sends it to the next company.
How do offers work?
Owners who said yes to offers show up as pool owners near you, without their contact details. Send one an offer and they see it in Marco. Their email and phone come to you as a lead when they answer that they're interested. Each owner gets at most 2 offers a month from all pool companies, and one from you.
Can I see my customers' water tests?
Yes, if they choose to share them. A customer you share a job with can let you see their tests, and their pool shows on your Clients page with the latest result.
Your customers
Do my customers need an account?
No. They sign estimates and pay invoices from a link. If they want more, invite them to Marco: they can follow the job, see the photos and logs you share, approve change orders, pay invoices and message you.
Do my customers pay anything?
No. Marco is free for pool owners.
Setup and your data
Does it work with QuickBooks?
Yes. QuickBooks Online is built in, and every plan downloads files for QuickBooks Online and Xero. Enterprise can have other systems connected on request.
Can I bring my data over?
Yes. Import customers, jobs, leads and your price book from a spreadsheet or your old CRM's export. Rows with problems are listed so you can fix them and run it again.
Can I leave with my data?
Yes. Every plan downloads files for QuickBooks and Xero and spreadsheets from your lists. Enterprise owners and admins can also export everything as one zip.
Can you set it up for us?
Yes. TriLumen Systems imports your data, sets up your branding and trains your team: $500 for Enterprise and $1,000 for Enterprise Plus, waived on annual plans.
Is there an iPhone app?
The Waterline iPhone app is on its way to the App Store. Waterline runs in any browser on your phone, tablet or computer today. Marco runs on the web now, with its iPhone app coming.
